Aberdeen Cyrenians Terms and Conditions for Events

To fundraise for Aberdeen Cyrenians by taking part in a challenge event you must agree the terms and conditions below. These terms constitute the fundraising agreement between Aberdeen Cyrenians and you, as a participant.

Taking Part

 1. I have purchased my own place as indicated by Aberdeen Cyrenians, and I understand that the event is not organised by Aberdeen Cyrenians, but by an independent third party who Aberdeen Cyrenians has not recommended or endorsed (“Event Organiser”). It is my responsibility to read any terms and conditions issued by the Event Organisers and to comply with these.

2. I confirm that I am medically fit and acknowledge and agree that I participate in the event at my own risk. Aberdeen Cyrenians shall not be responsible or liable for injury or illness resulting from my participation, and I need to arrange my own insurance.  If I am unsure about my physical ability to take part in the event, I will contact Aberdeen Cyrenians in advance to seek advice.

3. I confirm that I am aged 18 or over. Or if aged 16 and over and eligible to participate, have consent from my guardian.  If I fail to provide proof of age where required or I give false information regarding my age I will forfeit my participation. Please note, if your participation is forfeited due to age, refund will only be possible where the event organiser is able to refund the ticket.

4. I confirm for abseiling events I am under 18 stone in weight.

5. I confirm that I am entering my own name to participate and I understand that I may not change places with another person without seeking permission from Aberdeen Cyrenians and provide at least 10 days notice prior to the event.

6. I understand that all reasonable steps will be taken to minimise the risk of injury to participants during fundraising events. There is a stringent risk assessment process in place for each and every event which aims to minimise the risk to everyone taking part. However, by taking part in this event, you acknowledge that there may be conditions or circumstances beyond our control that can lead to unforeseen risks. If you have any concerns or queries please contact us before agreeing to take part in this event.

7. I understand that I must abide by any rules, instructions and regulations provided in advance, displayed or given on the day.

8. Supporters and family members invited to spectate at events do so entirely at their own risk, and Aberdeen Cyrenians shall not be liable for any injury or loss that might occur as a result of their attendance.

9. All transfers to and from the venue are at the participant's own expense.

10. The supplier may need to cancel an event due to the weather, and then this event would be postponed at no extra cost to you.

11. I shall forward any money raised to Aberdeen Cyrenians for their work supporting people facing crisis.

Fundraising

12. I will use my best endeavours to raise money for Aberdeen Cyrenians in connection with my participation in the event.

13. I understand and will make clear to those who support my fundraising that any money I send to Aberdeen Cyrenians will be treated as a donation and used for Aberdeen Cyrenians’ work. Donations are not generally refundable, even if I fail to take part in or withdraw from the event.

14. I will forward all monies donated to the Charity either by cash, cheque, CAF or via an online giving provider such as Just Giving no later than four weeks after the event.

15. I will only use lawful means to fundraise for Aberdeen Cyrenians and will not bring the charity's name into disrepute. I will observe the following fundraising rules and I will comply with any further rules and requirements about fundraising of which Aberdeen Cyrenians may notify me:

  • I will not use Aberdeen Cyrenians or any associated logo without first obtaining permission from Aberdeen Cyrenians and will allow Aberdeen Cyrenians to approve any materials produced, whether printed or online.

  • I will tell my sponsors that I am raising money “in aid of” Aberdeen Cyrenians.

  • I will not incur nor am I authorised to incur any cost, claim, loss, or liability on behalf of Aberdeen Cyrenians.

  • I will contact Aberdeen Cyrenians before conducting any raffle, lottery, or public event, and comply with any guidance, guidelines or insurance and legal requirements issued by Aberdeen Cyrenians in connection with this kind of event.

  • I will obtain approval from Aberdeen Cyrenians before approaching press or celebrities to support my event.

  • I will secure the necessary approvals prior to undertaking street collections or collections on private property. House-to-house collections are not permitted.

16. I will ensure that I take responsibility for the safe keeping of money raised in Aberdeen Cyrenian’s name, both during and after the collections, until it is transferred to Aberdeen Cyrenians and I will:

  • Send Aberdeen Cyrenians any completed sponsor forms with details of the names and addresses of and amounts donated or pledged by all sponsors no later than 4 weeks after my event. This will allow Aberdeen Cyrenians to process gift aid on donations.

  • Ensure that donations of £20 or more made by cheque are payable to Aberdeen Cyrenians and ensure that these cheques are sent to Aberdeen Cyrenians no later than 3 weeks after issue.

Confirmation

In purchasing my ticket from Aberdeen Cyrenians or signing up to take part, I am confirming that I have read, understood and agree to all the terms and conditions set out above and understand Aberdeen Cyrenians may terminate our relationship if I am in breach of any of the terms and conditions.
